How Does Outsourcing Work? PDF Print E-mail

A company that hires individuals or a firm to perform specialized functions can be deemed as outsourcing. It has been done in business organizations since time immemorial. An advertising agency, for example, would rather contract janitorial and maintenance services from a different firm instead of hiring employees to perform their tasks. It is safe to say that the term “outsourcing” merely replaced “contracting” as the strategy gets more and more sophisticated in this capitalistic society.

The trouble for a company that wishes to venture into an uncharted business endeavor occurs when it gets deterred by the high cost of labor. If the business has been operating efficiently ever since, each employee must already have his/her own specialized tasks to perform. Giving them more work is fatal to his/her competency. Besides, there are more people who are relatively fitter for the job description. The only problem now is that hiring them means another set of compensation, benefits and equipments to spend for. Most companies find outsourcing specialized tasks as the solution to such dilemmas. It does not only save the company time and money, it also ensures that the outputs are done by real experts on the field.

Once the dilemma of whether to outsource or not is settled, the next thing a company needs to deal with is finding the right people to outsource to. If the company is mindful enough, it will conduct a few experimentations with a provider before entrusting the whole project to it. Although trying out a company means additional cost sans actual production outputs, it is safe to consider it a necessary risk. Dealing with the wrong service provider for a vital project leads to more wasted time and money.

Any company that considers outsourcing should develop the general criteria that will become the basis of its choice of provider. Normally, companies hire third-party firms to conduct administrative tasks such as payroll, billing and data entry. Therefore, the company has to choose a service provider that is in possession of the right tools and that maintains a workforce of specialists on the functions the client require. Otherwise, the company has to spend more on the same tools and manpower even if such are not necessary to perform the focus of its operation.

If anything went wrong with the experimentation phase, the company can always correct its mistakes and decide whether outsourcing activities with a certain service provider should be done long-term or for a few projects only. Other factors to put in mind involve hiring the right people; coordinating the tasks of onsite employees and third-party providers; knowledge transfer; and remote project management.

Some companies even find it cost-efficient to outsource an entire operation to a third-party provider. These activities are done in the advent of information technology outsourcing and business process outsourcing.
